Photo proofing galleries with client picks and reminders

The problem

A photographer needed a simple way for clients to review a set of photos and choose the ones they want, without creating accounts or passing files and comments back and forth by email. Tracking how many picks each client had included in their package, and which clients still had not responded, was also a manual job.

What we built

We built a proofing tool. Each client gets a private signed link to a gallery with the photographer's note and a responsive photo grid that works edge to edge on phones. Clients can open a large view, move between photos, heart favorites, add an optional note to a photo, and filter to favorites only. A sticky counter tracks picks against the number included, and extra picks are allowed and flagged as over the package by a given number. Send my picks emails the photographer the filenames and notes, emails the client a copy, marks the gallery submitted, and shows a confirmation. A Resend option is available. The photographer signs in with a magic link and sees a dashboard of gallery cards showing cover, client, photo count, picks so far, open or submitted status, and a copy-link button. The gallery editor covers title, client name and email (also saved to a customers collection), note, included picks, and photos added by multi-file upload with progress or pasted image URLs. The photographer can email the link to the client and review a Picks tab with favorites, notes, and a copy-as-text button that lists filenames one per line. A daily scheduled job sends one gentle reminder per gallery after 7 open days with no submission. A demo mode with sample galleries, picks and notes never sends email and shows the message that the list would be emailed instead.

Outcome

The photographer can send a client a private link, let them pick favorites and leave notes without logging in, and receive the finished list by email. They can see which galleries are open or submitted, copy a client's picks as a plain filename list, and rely on a single automatic reminder for galleries that have sat open for 7 days.
