Event signup page with waitlist and organizer dashboard

The problem

Organizers of one-off or recurring community events often track signups across messages, shared documents, and email threads. That makes it hard to know how many spots are left, stop signups at capacity, handle a waitlist, and remind people before the day arrives.

What we built

We built a public event page showing the details in the event's timezone, with an Add to calendar link, an .ics download, a Google Maps link, and a live spots-left count. The signup form collects name, email, optional phone, and 1 to 4 people, and rechecks capacity right before saving so the event closes when it is full. When full, the button becomes Join the waitlist, and a cancellation promotes the first waitlisted person who fits and emails them. Signups and organizers get confirmation emails, and signups get a signed manage link to cancel. Organizers log in with a magic link and get a dashboard with counts, a searchable signup list, check-in toggles, manual promote, cancel with email, CSV download, and Email everyone. Settings cover all event fields, an open/closed toggle, and Duplicate for next time, which archives old signups. A daily scheduled job sends a one-time reminder to confirmed people the day before and a headcount email to the organizer. A demo mode is pre-signed in and seeded with a sample trail cleanup event, and it shows what email would be sent instead of sending it.

Outcome

The organizer can share one page where people sign up, see spots left, and join a waitlist when the event is full. They can manage signups, check people in, email everyone, export a CSV, and reuse the event for the next date by duplicating it, while reminders and headcount emails go out automatically the day before.
